The Cornell University College of Veterinary Medicine (CVM) is seeking a Program Aide to join the Veterinary Support Services (VSS) team. The Program Aide, with their drive to help others, is an integral member of the VSS team.
In this role, you will use your knowledge of veterinary medicine and strong organizational skills to successfully perform a variety of duties that include administrative, diagnostic, and educational tasks. To be successful, you’ll need strong attention to detail, the ability to identify and effectively resolve issues as they arise, and along with a positive attitude and excellent communication skills to anticipate and meet the unpredictable needs of internal and external clients alike. The job responsibilities include, but are not limited to:
Regulatory Affairs Support:
- Assist with National Animal Health Laboratory Network (NAHLN) submissions and regulatory reporting.
- Coordinate foreign animal disease investigations (FADis) and support select agents reporting to DASAT.
Educational Collaboration & Client Communication:
- Coordinate workshops and conferences, compiling educational materials to support teaching efforts.
- Provide guidance on best practices to internal and external clients for optimal service.
- Offer high-level communication and support for regulatory testing requirements in various activities.
- Collaborate with Receiving, Anatomic Pathology, and lab units to ensure seamless diagnostic submissions.
Administrative Excellence:
- Manage VSS calendars, respond to client communications, and oversee VSS pages on the AHDC website.
- Contribute engaging social media content and assist in crafting marketing materials.
Workflow & Data Management:
- Assist in referral testing, manage referral lab database, and maintain quality assurance.
- Create, evaluate, and update SOPs, fact sheets, and forms to uphold standards.
- Compile and manage data for VSS reports, research, and organizational decisions.
Employees working in the laboratory must receive the pre-exposure rabies prophylaxis vaccination series prior to or immediately after hire, which will be paid for by the department.
Required Qualifications:
- Associate’s degree and 2 to 4 years of relevant work experience, or an equivalent combination of education and experience.
- Veterinary practice experience, strong interest in veterinary medicine and animal welfare.
- Skilled in customer service; ability to assess client needs and requirements; familiar with customer service tools.
- Demonstrated sound judgment with strong and creative problem-solving skills.
- Ability to handle sensitive, confidential information with tact and discretion.
- Excellent self-management practices to successfully plan and organize competing priorities to meet deadlines.
- Familiarity with a variety of basic computer software programs; Microsoft Office Suite, and Adobe.

- Ability to cultivate and develop inclusive and equitable working relationships with students, faculty, staff, and community members.
Preferred Qualifications:
- Veterinary Technology degree.
- Successful work experience in Hospital or Medical field.
- Familiar with advanced data management and analysis tools.
- Experience with laboratory or veterinary software programs.
This is an onsite position located in Ithaca, NY.
This is a full-time three-year term position with potential for extension contingent upon funding and performance.
We are unable to provide Visa sponsorship, now or in the future, for this position.
Relocation assistance will not be provided for this position.
While the regular business hours are 8:00 am to 5:00 pm, the specific schedule may change to meet the needs of the business, requiring employees to work early mornings, evenings, weekends and University holidays and scheduled breaks.

Who We Are:
The Animal Health Diagnostic Center (AHDC) is a high visibility and high-volume veterinary diagnostic laboratory that promotes the health, productivity, and welfare of food-and fiber-producing animals, companion animals, and zoo and wildlife populations. Through its comprehensive veterinary diagnostic services, the AHDC detects animal diseases and supports animal and public health, promotes environmental stewardship, and fosters economic growth.
Veterinary Support Services (VSS) is comprised of a team of experienced veterinarians who utilize their knowledge of, and resources in, production medicine, equine and companion animal practice, agricultural industry and diagnostics to provide consultations for practitioners world-wide. They guide in test selection and strategies, interpretation of results, and disease surveillance, control and prevention. They participate in the instruction of Cornell veterinary students and residents, as well as providing continuing education and outreach to veterinary practices.
VSS works closely with the Regulatory Affairs (RA) Unit of the AHDC. The RA assists veterinarians, clinics, authorized submitters, and exporters, and ensures compliance in testing, result reporting and documentation of submissions that are to satisfy State, federal and international regulatory requirements for the purpose of qualifying an animal or animal product for movement within the US or for export, detection and surveillance of reportable, program or emerging diseases. The unit responds to inquiries and requests for regulatory testing, monitors sample submission and documentation from the submitters, ensures reception and recording of samples and required information, assists with coordination of testing of regulatory submissions across AHDC laboratories, addresses need for regulatory referrals to other laboratories, and reports results to local, State and National agencies, and submitters as required by State and federal legislation and regulation. The VSS and RA Units support the overall organization and provide AHDC internal and external clients with exceptional customer service.
