The Faculty of Veterinary Science, as the only faculty of its kind in the country, has a unique responsibility in training all veterinarians and veterinary nurses as well as conducting relevant and high impact research. The Faculty, situated at the Onderstepoort Campus to the north of Pretoria, is looking for someone to manage the comprehensive post graduate service to students and staff of the Faculty with the following responsibilities:

 

RESPONSIBILITIES:

The incumbent will be responsible for:

  • Managing and coordinating all postgraduate administrative matters;
  • Advising the Dean, Deputy Dean and HODs on postgraduate matters;
  • Managing the academic life cycle of postgraduate students from application, registration and conferment of qualification;
  • Staff management;
  • Assisting with strategic planning and organising to ensure an efficient postgraduate student administrative department;
  • Applications and admissions;
  • Managing the postgraduate application processes of the Faculty;
  • Registration and general enquiries;
  • Organising and coordinating the postgraduate registration processes;
  • Examination and related matters;
  • Annually updating information from all stakeholders in the electronic yearbook;
  • Updating the postgraduate brochure and other web information;
  • Advising clients on regulations, procedures and policies of the University as well as the Faculty;
  • Client consultations;
  • Responsible for the recordkeeping of the PG Committee as well as the PG Approvals Committee;
  • Coordinating the Graduation process for PG students; and
  • Representing the faculty in DESA meetings – online or on the Hatfield campus.

 

MINIMUM REQUIREMENTS:

  • Relevant Bachelor’s Degree;
  • At least four years student administration experience in a tertiary environment of which three years should be at a supervisory or managerial level experience including delegated authority; and
  • A valid driver’s license.

 

REQUIRED COMPETENCIES (SKILLS, KNOWLEDGE AND BEHAVIOURAL ATTRIBUTES):

  • Knowledge of the policies and regulations of the University;
  • Knowledge of South African Qualifications Association (SAQA);
  • Knowledge of Universities South Africa (USAF) processes;
  • Specialist knowledge in all processes of student administration;
  • Computer literate in the Internal Computer programmes (Peoplesoft) and MS Office;
  • Advanced proficiency in meeting management;
  • Advanced communication skills, written and other;
  • Strong decision making, time management and prioritising abilities;
  • Ability to work independently and under pressure;
  • Maintain confidentiality;
  • Ability to communicate effectively over cultural boundaries; and
  • Professional conduct and appearance;

 

ADDED ADVANTAGES AND PREFERENCES:

  • A Bachelor’s Degree in administration or management; and
  • Five years’ experience in student enrolment experience in Student administration and postgraduate admission processes.

The annual remuneration package will be commensurate with the incumbent’s level of appointment, as determined by UP policy guidelines. UP subscribes to the BESTMED and UMVUZO medical aid schemes and contributes 50% of the applicable monthly premium.
