Description
VetPD – Veterinary Professional Development is a global provider of veterinary continuing education (www.vetpd.com) that specializes in practical on-location courses and online learning for equine and small animal veterinarians across Europe, North America, Africa and Asia-Pacific. We are looking for a reliable and self-motivated veterinary event manager/administrator to join our expanding team. In this exciting and fast-paced role you will be able to apply a multitude of skills in an international veterinary environment. Location:
Home-based; Within convenient driving distance from an international airport
Hours of Work:
Flexible 15 - 40 hours per week (dependent on the number of managed events/courses and additional projects/responsibilities) & 8 – 12 events/courses per year. Working hours can be adjusted to meet individual needs.
Job Purpose:
Responsible for the organizational and logistical aspects of events/courses held across Australia, New Zealand & Asia
Salary:
$18AUD - $24AUD per hour, for self-employed home-based administrative work, commensurate with experience
Course remuneration:
$850AUD flat rate for a 2-day course (incl. travel time); all expenditures covered
$580AUD flat rate for a 1-day course (incl. travel time); all expenditures covered

Job Starting Date: As soon as possible, but at the latest by 1st of February
Job Responsibilities:
- Management of all event/course preparations with the help of ‘Asana’ project management software
- Communication with attendees, speakers, Partner Clinics (event/course venues) and Veterinary Associations
- Identifying and booking economical travel options (airport parking, flights, rental cars, public transport & hotels etc.) for speakers & yourself
- Soliciting course sponsorship and liaising with company representatives
- Arrangement of catering (incl. price negotiations)
- Preparation of course documentations based on templates
- Travel to the events/courses and represent VetPD on location, consisting of: Liaising with the Partner Clinic (hosting venue), venue preparation, registration of attendees, speaker airport pick-up/drop-off with a rental car, preparing coffee breaks, clearing up after the event/course etc.
- Handle cash refunds and accurately record expenses on events/courses
- Maintenance of attendee databases
Our ideal candidate will have a veterinary medical background and/or already have experience with event management, along with:
- A highly self-motivated disposition, showing lots of initiative, thinking outside the box, coming up with creative and innovative methods to achieve goals.
- Excellent and efficient organizational skills with the ability to meet tight deadlines
- Attention to detail and high level of accuracy
- Ability to work well on own initiative as well as under supervision and as part of a global team.
- Excellent verbal and written communication skills
- Calm and professional customer service skills, even when working under pressure
- Excellent computer skills (internet/web/E-mail) and proficient in MS Office (Word, Excel, Outlook etc.)
- Ability to check and reply to e-mails at least once a day Mon – Fri and occasionally on weekends
- Experience with data entry/manipulation (Excel) & ability to assess data critically
