The Records Keeper and Administration Assistant works under the direction and guidance of the Keeper Management team (Curators) as well as Senior Management.

This role will provide assistance in all aspects of biosecurity, legislation compliance, licensing approval processes and permitting and reporting processes for Australia Zoo. In addition, you will assist with generalised Record Keeping and Administration of the operational needs of the keeping departments.

The Records Keeper and Administration Assistant will be required to liaise with external agencies on a regular basis, such as ASZK, ZAA, Biosecurity Queensland, Department of Agriculture and fisheries and Department of Environment and Science. This role is key to recording important Zoo records of animal births, deaths, acquisitions, transfers and many more via the ZIMS system.

Duties may include –

  • Facilitate all state and federal regulatory requirements and ensure compliance via formal reporting e.g., ZIMS.
  • Ensure collection records are thoroughly maintained, including parentage, breeding, medical and transaction histories for all specimens.
  • Coordinate keeping staff in the practice of data collection, and review effectiveness of reporting with relevant departments and the approval of provisional data entries.
  • Assist in the acquisition and disposition of animals for the collection.
  • Respond to enquiries in line with business priorities and bring urgent matters to their attention.
  • Perform other duties, as directed by Keeper Management and/or Senior Management.
  • Manage and monitor animal transactions and coordinate with Senior Management, Keeper Management and veterinary staff to ensure legal compliance with local, state, federal and international laws, government regulations and industry-specific standards.
  • Prepare animal transaction paperwork including transport plans.
  • Acquire and manage all local, state and Federal wildlife permits and licences.
  • Operates as primary liaison between the institution and government agencies, providing these agencies with accurate collection information as required.
  • Train staff in animal record keeping, records management and animal data entry standards.
  • Provide support and assistance to various Animal Keeping departments with matters of animal breeding, ancestry, diets, veterinary care, specimen transportation, staff training, scheduling and development.
  • Communicate with Species coordinators, other institutions, registrars as needed for recordkeeping. Communicate animal information for surveys and records requests.
  • Participate in conservation activities that support the zoo’s mission.

Essential Criteria –

  • Full availability, including weekends, public holidays and school holidays.
  • Current Advanced First Aid & CPR Certificates, including Anaphylaxis and Asthma.
  • Relevant vaccinations, such as Q-fever.

Preferred Criteria –

  • Any other relevant certificates involving Leadership, Training, WHS, counselling, injury management
