Gungahlin Veterinary Services, comprising of Gungahlin Veterinary Hospital and the co-located Gungahlin Cat Hospital, is looking for a Reception Manager to join our team as our awesome current Manager has moved on.
We are one of the premier veterinary hospitals in the ACT, working from a purpose-built hospital. We are an ASAV Accredited Hospital of Excellence and ISFM Gold Cat Friendly Clinic. Our team works hard, but also has fun, with a strong importance placed on having a great culture.
We are looking for an experienced reception manager who has demonstrated leadership and supervisory skills. This role will offer you the opportunity to use your exceptional customer service and leadership skills and combine those with your love for animals.
About the Role
We have a team of approximately 6 dedicated receptionists, a Reception Supervisor, and some amazing casual staff. We work in a fast-paced environment, with the reception team being the 'face' of our business.
This role supports and works alongside our Reception Supervisor and reports to the Practice Manager, they are responsible for leading the team and ensuring our high standards of customer service are continually met.
Responsibilities will include, but are not limited to:
- Manage and lead the reception team, ensuring protocols and processes are followed and our high standards of customer service are maintained and exceeded,
- Manages rosters, resource allocation and delegation of tasks, ensuring follow through and completion of all tasks,
- Training both new and existing staff,
- Assist with developing, documenting and maintaining reception protocols, policies and procedures,
- Completes staff reviews and deals with performance matters,
- Ensure work schedules are organised to maintain smooth running of the practice,
- Debt collection activities,
- General reception duties (leading by exampled) – assisting clients face to face, over the phone and via email, processing invoices and payments, banking/reconciliations, processing online bookings, filing and records management,
- Providing administrative support to the Practice Manager and Practice Directors.
Our ideal candidate will have the following skills and experience:
- Demonstrated leadership and management capability (2+ years),
- Highly organised and self-motivated – the ability to multi-task, with a strong attention to detail,
- Ability to build rapport with clients and co-workers, and work as part of a team to achieve shared goals,
- Excellent verbal and written communication skills,
- A mature attitude and approach, with the ability to lead by example,
- Intermediate to advanced IT skills – including Microsoft Office, and the ability to pick up new software systems with ease,
- Physical ability to handle and lift up to 15kgs (either animals that have to be carried, or stock items like large bags of food),
- Willingness to make a long-term commitment to the role.
- Relocation assistance may be provided for the right candidate,
- Training will be provided with the right candidate with our current Reception Manager,
- Qualifications in Business Administration or Leadership & Management will also be an advantage.
- Experience with the veterinary industry, or alternatively a medical or health environment, will be highly regarded.
Required availability for this role
This is a part time role, offering you the opportunity to maintain a work/life balance, and be flexible to stay back and/or cover shifts as required. You can expect to work a minimum of 5 days a week (minimum of 25 hours per week but could be up to 38 hours per week depending on shift availability), which includes up to every second Saturday.
Shift times range between:
Monday to Friday: 7:45 -15:00 or 14:00 - 19:30
Saturdays: 8:00 - 16:15
