Hours of work: 

This is a permanent part-time position where you will be required to work 35 hours per week. The role will require you to work on weekends, based on a rotating roaster,  plus any additional hours which are reasonably required, when necessary, to fulfil the requirements of the role.

About us

The Sunshine Coast Animal Refuge was established in 1979 to provide temporary refuge and find new homes for abandoned, abused, stray and unwanted cats and dogs. The Refuge is managed by an unpaid, elected committee, and run by a small staffing compliment and a large dedicated group of volunteers including Kennel and Cattery Teams, Facility Management, Administration Support, Foster Carers, SCARS Markets, and a range of fundraising and awareness events conducted throughout the year.

Purpose of Position:

  1. Assist in ensuring the animal-related operational activities of SCARS are conducted consistently, effectively, and efficiently to support SCARS' mission.
  2. Provide administrative support to the Animal Trainer and Behaviouralist.
  3. Maintain the care philosophy of the SCARS, and support staff, volunteers, and the community to comply with SCARS’ aims and objectives:
  • Provide refuge for as many lost, abandoned, and uncared for animals that can be physically catered for.
  • Ensure all animals at the refuge are given the best care and medical treatment until re-homed. This will involve, on occasion, handling the animals.
  • Ensure that all animals that find their way to the refuge are de-sexed and microchipped.
  • Provide advice on enrichment activities for our animals and promote responsible pet ownership through education programs and the media.
  • Maintain a non-euthanasia policy, except in special circumstances where medically or behaviourally indicated.

Knowledge/Skills/Abilities:

  1. Demonstrated working knowledge of animal care, particularly cats and dogs.
  2. Demonstrated interpersonal and communication skills including experience in conflict and change management.
  3. Demonstrated ability to work independently and as a team member.
  4. Advanced computer skills e.g., Microsoft Office suite, maintaining and updating animal management systems and on-site databases.
  5. Demonstrated customer service skills.

Responsibilities:

  1. Responsible for the updating and maintaining of the filing systems, office documents and records that are animal care related.
  2. Assist in maintaining office resources, including registration and microchip records.
  3. Maintain animal and client profiles on the Animal Shelter Management system (ASM), which automatically updates the SCARS website.
  4. In conjunction with the Vet Nurse, manage the Vet Room Diary to ensure animals receive timely care and work time is used efficiently.
  5. Maintain a Scheduling Diary to accommodate private surrenders, pound testing and meetings.
  6. Provide content and materials to the Marketing team to enable animal-related promotions.
  7. Responsible for maintaining relevant and accurate databases such as Surrender  Lists and Foster Care Lists.
  8. Assist with issues relating to concerns from the community.
  9. Work in partnership with the Vet team to identify foster animals, then work with the Foster Care Coordinators to place the animal in the selected foster home.
  10. Participate, on occasion, in the support and training of volunteers to provide care for animals.
  11. Participate in refuge team meetings as required – including, but not limited to, staff meetings.
  12. Provide recommendations to the Refuge Manager for improvements to the  Refuge policies and procedures, particularly animal care guidelines.
  13. Produce a monthly report for the Management  Committee.
  14. Undertake other duties as directed by the Refuge Manager

Mandatory Qualifications/Experience:

  1. Computer skills – Office Suite

Key Selection Criteria:

  1. Demonstrated knowledge and experience in animal care and/or welfare.
  2. Demonstrated ability to work independently and effectively as a team member.
  3. Demonstrated sound oral and written communication skills, including customer service skills, and writing procedures and reports.
  4. Demonstrated advanced ability to use electronic media and office equipment and computer programs including Microsoft Office Suite of products.
  5. Ability to work within the philosophy and framework of the Sunshine Coast Animal Refuge.
